Job Description

Responsibilities:

  • Admin support to a team of RE professionals.
  • Extensive diary management in Outlook; scheduling internal and external meetings, mainly in the UK and Europe. Providing quick availability to other EA’s and proactively resolving clashes.
  • Making travel arrangements, including booking flights, trains and hotels through AMEX and booking cars directly with our providers for airport transfers and asset tours. Ensuring everything is booked correctly and all travel details are added to the professional’s calendar.
  • Regularly arranging video conference calls, using Zoom, across different time zones.
  • Booking meeting rooms for internal and external meetings through Book-IT and registering guests on the EMS system.
  • Booking restaurants.
  • Logging the professionals time in Topia.
  • Logging attendance at dinners and events in the MIFID system.
  • Creating project codes, as per the details sent by the professional and then circulating to the EA’s and EMEA Project code team.
  • Helping the expense team get receipts/project codes or anything missing to complete expenses.
  • Building strong working relationships with the existing EA team.

Experience:

  • Previous experience from a similar professional/corporate background.
  • Advanced experience in Outlook, knowledge of Excel would be useful.
  • Reliable, proactive and able to set priorities independently.
  • A flexible team player with strong work ethic and high attention to detail.
  • A strong problem solver with good judgement and always willing to help.
  • Experience using Zoom and Book-It system would be an asset, but not essential.
